In the previous story we outlined the issue with Metadata and what information it might reveal that you may not want revealed:

Here we outline what you should do with your word template before you start writing your document. Hence, follow the suggestions we make below.

1) _Turn off Fast Save_

This feature speeds up saving a document by saving only changes made to a document. However, text that you delete from a document may still remain. Microsoft recommends turning off this feature to eliminate any chance of deleted text remaining in the document.

Click Tools, then Options.
Click the Save tab.
Clear the “Allow fast saves” check box and click OK.

2) _Remove personal information from a document when you save it_

In Word 2002 and 2003, click

- Tools, Options,
- Click the Security tab
- Under Privacy options, select “Remove personal information from file properties on save” and click OK.

In Word 98 and 2000, click

- Tools, Options
- Select the User Information tab.
- Clear the information in Name, Initials and Mailing Address and click OK.

3) _Turn off the Track Changes tool_

In Word 2002 and 2003, click

- Tools, then
- Track Changes.

In Word 2000 and earlier versions, click:

- Tools,
- Track changes
- Show track changes,
- unmark the ‘Track Changes while editing’ box.

You can tell if the Track Changes feature is on by looking at the status bar (located at the bottom of every document). When Track Changes is enabled, TRK appears in the status bar. When Track Changes is disabled, TRK is dimmed.

‘TRK changes’ can also be de-activated in the status bar. Right click your mouse and left click the ‘TRK changes’ option.

4) _Remove version information (file, version(s))_

Best is if you copy the complete document into another one. To do this yous should proceed as follows:

- open a new Word file (File, New or CTRL+N)
- set the settings as outlined in points 1-3 above,
- save the file if necessary type a line of text before saving, thereafter
- copy the original document and insert it into the new file
Proceeding as above can result in losing some formatting information. You can also copy the complete document into another editor

WATCH OUT

When you save the Word file as a pdf file, information about the author and the date the pdf file was created will be saved.

Also, if you save your word document as an RTF file, such information as author, date when document was saved and all elements that come with track changes will be saved and can be viewed by somebody else lateron.

CONCLUSION

If you follow our suggestions as outlined above you have already eliminated much of the information that might otherwise be revealed by your Word document. However, to make sure that you have deleted what you feel must be removed from the saved document it is best to also consult a tool that checks. We will present you two of these free tools in the following postings.

Steps 1-3 above should become a habit you follow each time you work with Word. This will help you reduce the risk of revealing unwanted information to others and possibly experience nasty surprises. Step four is definitely required _before_ you pass on a Word document to a customer or a colleague.

In dieser Story besprechen wir 4 Moeglichkeiten die Ihnen helfen die Ablage von unerwuenschten Inhalten in Word-Dokumenten zu verhindern.

1) _Schnellspeicherung de-aktivieren_

Diese Option beschleunigt den Speicherungsprozess eines Word Dokumentes. Leider hat dies jedoch zu Folge, dass Text welcher geloescht wurde unter Umstaenden immer noch vorhanden ist. Microsoft empfiehlt diese Option zu de-aktivieren indem Sie wie folgt vorghen:

Click Extras, dann Optionen,
Click den Reiter Speichern,
Freimachen der Checkbox “Schnellspeicherung zulassen”
Click auf OK.

2) _Persoenliche Informationen vor der Speicherung der Datei entfernen_

In Word 2002 und 2003, click:

- Extras, Optionen
- Click den Reiter Sicherheit
- Unter Datensicherheitsoptionen, bitte markieren Sie die Option “Persoenliche Informationen beim Speichern aus dieser Datei entfernen”
- Click auf OK

In Word 98 und 2000, click:

- Extras, Optionen
- Click den Reiter Benutzerinformationen
- Loeschen der Informationen im Namen- Intitialen- und Address-Feld
- Click auf OK.

3) _Deaktivierung der ‘Aenderung nachverfolgen’ Option_

In Word 2002 und 2003:

- click Extras,
- Aenderung nachverfolgen

In Word 2000 und frueheren Versionen:

- Extras,
- Aenderungen nachvervolgen,
- Aenderungen anzeigen,
- loeschen der Markierung “Aenderungen nachverfolgen’.

Sie koennen auch sehen das die ‘Aenderung verfolgen’ Option aktiviert ist indem Sie im Statusbar (am unteren Ende des Bildschirms) kontrollieren. When ‘Aenderungen verfolgen’ aktiviert ist leuchtet ‘AEND’, ansonsten nicht.

‘AEND nachverfolgen’ koennen sie auch im Status bar de-aktivieren indem sie die Maus rechts anclicken und mit der linken Taste ‘Aenderungen nachverfolgen’ anclicken.

4) _Versionsaufzeichnungen entfernen (Datei, Version bzw. Versionen)_

Den gesamten Inhalt eines Dokuments kopieren und in ein neues einfuegen. Sie gehen wie folgt vor:

- dazu ein neues Word Dokument oeffenen (Datei, neu ancklicken - oder Strg+N),
- Einstellungen wie oben aufgefuehrt ueberpruefen und sicherstellen,
- Datei sichern (wenn noetig einfach eine Zeile Text einfuegen)
- danach Inhalt des Originaldokumentes kopieren und in die neue Datei einfuegen

Dabei koennen aber Formatierungen verloren gehen, ausser die neue Datei hat die gleichen Formatierungseinstellungen.

Sie koennen auch den gesamten Inhalt eines Dokuments mit einem Editor in eine TXT-Datei kopieren.

ACHTUNG

Wenn Sie die Datei als PDF-File speichern behaelt dieser Informationen ueber den Autor und das Speicherdatum.

Wenn die Datei als RTF gespeichert wird behaelt diese Informationen ueber Autor, Bearbeiter, Speicherdatum und alle Elemente, die zur Word-Bearbeitungstechnik gehoeren, wie Textmarken und Kommentare.

SCHLUSSFOLGERUNGEN

Wenn Sie nach den obigen Anweisungen vorgehen ist schon viel von der vertraulichen Information nicht mehr im Dokument gespeichert. Um aber wirklich sicher zu sein, dass alles vertrauliche entfernt wurde bevor die Datei weitergereicht wird empfiehlt es sich dies noch mit einem Tool zu ueberpruefen. Wir stellen Ihnen 2 dieser kostenlosen Tools in den folgenden News vor.

Schritte 1-3 oben muessen Sie eigentlich immer nutzen um sich selbst vor boesen Ueberraschungen zu schuetzen. Schritt 4 ist sicherlich notwendig _bevor_ die Datei an einen Kunden oder Kollegen weiterversandt wird.

Hinter Kulissen eines Word-Dokumentes verbergen sich standardmaessig Informationen, die man bei der Weitergabe des Dokuments nicht offen legen moechte. Beispiele sind solche wie:

- Name des Autors,

- Titel des Dokumentes,

- Schlagwoerter,

- Datum wann das Dokument gespeichert wurd,

- Name der Personen welche das Dokument anschauten wie auch Datum wann diese Personen die Datei gespeichert haben

Solche Informationen wie oben aufgelistet koennen ganz harmlos sein. Aber manchmal koennen diese Meta-Daten von Word auch Informationen weitergeben welche vertraulich behandelt werden sollten wie z.B.:

a) Name der Firma,

b) Name des Network Servers, der Computername oder aber auch das Speicherwerk wo die Daten gespeichert wurden,

c) Kommentare welche von welcher Person wann hinzu gefuegt wurden.

Einige dieser Daten sind einfach einzusehen, fuer andere braucht man ein Werkzeug um sie in Word zu finden.

Sicherlich ist Metadata hilfreich wenn z.B. mehrere Personen an einem Dokument arbeiten.Welche Vorgesetzte ihre letzten Aenderungswuensche wann angebracht haben sollte sicherlich dokumentiert sein.

Manchmal wird damit aber auch hoechst vertrauliche Informationen weitergegeben wie z.B. ein Kommentar in einer Tabelle:

- ‘niederigste Preisofferte von unserer Seite wo wir noch Geld machen koennen’

Diese Information sollte ganz sicher nicht dem Kunden uebermittelt werden.

When we process some text, most programs hide some information that we do not care much about. Examples could be such as:

- name of authors,

- title(s) of document,

- keywords,

- dates when document was saved,

- names of people who reviewed the document as well as when they saved it

Such information may not reveal anything that we care not to reveal. But sometimes the metadata Word inserts could spill the beans about one’s workplace, location and other things that one does not necessarily want to have revealed to everybody who gets access to file.

Metadata can also reveal information about your employer that could be confidential or just sensitive, such as:

a) organization’s name,

b) the name of the network server or hard drive on which the document was saved,

c) comments that were added

Some of these data can be viewed easily, for others you need a tool to help you recover it from Word.

Metadata is useful when multiple people are working on one document. Let’s say you create a document and send it to your boss for approval. You’ll probably want to track changes made.

While metadata can be useful, especially tacking who made which changes and when, it can reveal information that should not be revealed. For instance, different figures might have an added comment such as:

- ‘lowest price feasible for us’

that should not be in the contract proposal you submitted as your final offer.

Also keep in mind that Track Changes must be disabled before writing the document. Otherwise, any changes made will not be removed.
